This policy explains what information Verde Outreach collects, why, and what you can do about it. It covers visitors to this website, people who enquire about or buy our service, people who use our client portal, and people who receive emails we send on behalf of our clients.
Verde Outreach ("we", "us") is a done-for-you outbound email service for business-to-business companies, operated from the United States. We build target lists, research and write cold emails in our clients' names, send them from dedicated domains, and report the results in a client portal.

Website visitors. Our hosting provider keeps standard server logs (IP address, browser type, pages requested and the time of the request) for security and to keep the site running. We do not run advertising or analytics trackers on this site. The site loads its typeface from Google Fonts, which means your browser requests the font files from Google's servers and Google may log that request under its own privacy policy.
Enquiries. When you use the contact form we collect your name, company, work email address and what you tell us about what you sell and who buys it. We use this to reply to you and to prepare for a call.
Clients and portal users. If you become a client we hold your name, work email, company details, billing details, the settings for your campaigns, the exclusion lists you give us, and the sent emails, opens and replies recorded for your campaigns. Portal passwords are stored as one-way hashes and are never visible to us.
People who receive our clients' emails. To run a campaign we collect a prospect's name, job title, company, work email address and publicly available information about their company, such as news announcements, job postings, permits and filings, together with whether an email was delivered, opened or replied to. We get this information from business contact data providers and from public sources. We do not collect personal email addresses, home addresses or anything about a person's private life.
We use enquiry and client information to provide the service, answer questions, send invoices, keep the portal secure and meet our legal obligations. The legal basis is the contract with you, or the steps you have asked us to take before entering one.
We use prospect information to send a small number of researched, business-to-business emails on behalf of a client, and to stop sending as soon as someone asks us to. The legal basis is the legitimate interest of our client in reaching companies that may need what they sell, and our legitimate interest in providing that service. We balance that against the interests of the people we write to by keeping emails relevant, infrequent and easy to opt out of, by never sending to consumer addresses, and by honouring every opt-out across everything we run.
We do not sell personal information, and we do not use it for any purpose other than the ones described here.
Every email we send is sent in the name of a real business and is about that business's products or services. If you would rather not hear from that client, reply with "unsubscribe" or anything to that effect, and we will stop within one business day. If you would rather not hear from any client we work for, tell us and we will add you to a suppression list that applies to every campaign we run. We keep that list so that we do not email you again.
We comply with the CAN-SPAM Act in the United States. For recipients in the United Kingdom and the European Union we send only to corporate addresses on the basis of legitimate interest, and we honour any objection immediately.
Our clients. When we email you on a client's behalf, that client can see your name, title, company, email address and any reply you send, because the conversation is theirs.
Service providers who process information for us: email sending and deliverability platforms, business contact data providers, cloud hosting and database providers, email and workflow tools, the software we use to research companies and draft copy, and payment processors. Each is bound by its own contract and privacy terms to use the information only to provide its service to us.
Anyone we are legally required to share with, such as a court or regulator, and a buyer or successor if the business is sold, in which case this policy continues to apply.
We are based in the United States and our providers are mainly in the United States and the United Kingdom. If you are in the UK or the EU, this means your information is transferred outside those areas. Our providers rely on standard contractual clauses or equivalent safeguards for those transfers.
Enquiries: up to 24 months after the last contact. Client records: for the length of the engagement plus 12 months, after which campaign data is either transferred to the client or deleted. Prospect data: for the length of the campaign it was collected for plus 12 months. Suppression and opt-out lists: indefinitely, so that we do not email you again. Server logs: 90 days.
The website and portal are served over encrypted connections. Portal passwords are hashed, logins are rate limited, and access to client data is restricted to the people who need it to do the work. Backups are taken regularly. No system is perfectly secure, and if we ever discover a breach that affects you we will tell you without undue delay.
Depending on where you live you may have the right to ask what information we hold about you, to have it corrected or deleted, to object to or restrict how we use it, and to receive a copy in a portable format. Under the California Consumer Privacy Act, California residents may also ask what categories of information we collect and confirm that we do not sell it.
To use any of these rights, contact us through the form on this website. We may ask you to confirm your identity first. We respond within 30 days. If you are in the UK or the EU and are not satisfied with our response, you can complain to your data protection authority; in the UK that is the Information Commissioner's Office.
This website sets no cookies. The client portal sets a session cookie so you stay logged in and a security cookie that protects forms against forgery. Both are essential to the portal and expire when you log out or after a period of inactivity. We do not use advertising or tracking cookies anywhere.
Our service is for businesses and this website is not directed at anyone under 18. We do not knowingly collect information about children.
We will update this page when our practices change and show the date of the latest version at the top. If a change materially affects clients, we will email them before it takes effect.
